Quick answers to common questions about scheduling, recording classes, student absences, and earnings in the Zion English Admin Portal.
# What is the difference between a scheduled class and a class?
A scheduled class is a lesson you plan ahead on Class Schedule. A class (recorded class) is an entry in My Classes with a final status: conducted, cancelled, or rescheduled.
- Use Class Schedule to plan upcoming lessons, see today's schedule, and optionally get Zoom or Google Calendar links.
- Use Conduct on a scheduled class when the lesson happened as planned. This creates a conducted class record in My Classes.
- Use Cancel or Reschedule on a scheduled class when the lesson did not happen as planned.
- You can also skip scheduling and use Record Class in My Classes to log a class directly.
# What if my student is absent or sick?
Mark the session as cancelled or rescheduled so your records stay accurate. Only conducted classes count toward earnings.
- From Class Schedule (today's class): click Cancel, enter a reason such as student absent or student sick, and submit.
- If you will hold the lesson on another day instead, use Reschedule or schedule a new class for the new date.
- From My Classes: click Record Class, set status to cancelled or rescheduled, and enter the reason.
- If you already conducted the class but the student was a no-show, cancel the scheduled entry or record the class as cancelled with an appropriate reason.
# Where can I see my total earnings?
Your dashboard shows earnings summaries. My Earnings lists every payroll cutoff. My Classes lists each class with its rate.
- Open the dashboard after signing in. Under Overview, Cutoffs shows your conducted-class totals for the first and second payroll periods in the current month, broken down by currency.
- Open My Earnings from the navigation menu for a table of earnings for each payroll cutoff from your first class through today.
- Open My Classes and filter by date range to review individual class rates and statuses.
- Only classes with status conducted are included in earnings totals.
# What counts toward my earnings?
Only conducted classes are included in earnings. Cancelled and rescheduled classes are tracked for reporting but do not add to your totals.
- When you Conduct a scheduled class, it is recorded as conducted at the rate shown.
- When recording a class manually, choose conducted only if the lesson took place.
- Check the dashboard or My Classes filters if a total looks lower than expected.
# What if I forgot to schedule a class?
You can record a past or same-day class without scheduling it first.
- Open My Classes and click Record Class.
- Select the student, date, start and end times, rate, and status.
- Click Record Class to save. The entry appears in your class history like any other recorded class.
# Can I edit a class after I recorded it?
Yes. You can update details for classes you already saved.
- Open My Classes and find the class. Use filters if needed.
- Click Edit on the row to change date, times, status, reason, notes, or other fields.
- Click Save changes. Earnings totals update when status or rate changes.
# What is a no-show?
A no-show is a scheduled class whose date has passed but was never conducted, cancelled, or rescheduled.
- Open My Analytics to see no-show entries for your classes.
- Resolve no-shows by conducting the class if it happened, or by cancelling or rescheduling if it did not.
- Keeping scheduled classes up to date helps your analytics and payroll records stay accurate.
# Do I still need to record classes in Google Sheets?
During the beta phase, yes. Record classes in the admin tool and continue entering them in your Google Sheet for auditing.
- Use the admin tool for scheduling, conducting, and class history.
- Keep your Google Sheet updated until Zion English fully transitions off sheet-based auditing.
- Student names in the admin tool must match your sheet casing exactly.
# How do I register a new student?
Register students from My Students so you can schedule and record classes for them.
- Open My Students and click Register Student.
- Enter the student name with the exact casing used in your Google Sheet.
- Set currency, status, and rate per class, then click Register Student.
- You are automatically assigned as the student's teacher.
# How do I connect Zoom or Google Calendar?
Connect integrations once from My Profile.
- Open My Profile and open the Integrations tab.
- Click Connect Zoom or Connect Google Calendar and approve access.
